Cancellation Policy – School lessons
If students regularly miss their session it can impact on their learning and ability to progress, as well as jeopardise your child’s regular time slot.
During the course of a term
- Credits will not be applied, but make up sessions offered
- If you go away during the course of the term, make up sessions will be offered or you can opt to pay a cancellation fee of 50% of your normal fee to maintain your spot. At least 24 hours notice (preferably more) still needs to be given if you are going away otherwise the less than 24 hours notice rule applies and you forfeit the session.
- These sessions will be offered at school, when possible, at an alternative time, i.e. they may have 2 sessions in 1 week to make up the time
- If this is not possible, then sessions in the holidays at Lewiston will be offered. This can be done in any school holidays – i.e. if term 1 holidays is not convenient, it can be term 2 or the Christmas holidays.
- If you choose to not do the make-up session or it is not made up within the calendar year, it will be forfeited. If we are unable to do the make up session at school and you choose not to do it in the holidays, then it is your choice to forfeit this session (we can offer zoom sessions for those who can’t get transport)
- If a session is cancelled without 24 hours’ notice, (i.e. the child is sick on the day) or no notice is given (tutor turns up to their class and they are not there) then no make-up session is offered and the fee is forfeited.
- Please be very aware of your student’s lesson time and advise of any school activities that may impact this time (i.e. swimming, excursions)
- If we go to collect a student and the school have an activity on that the child does not want to miss, they are still required to attend. If they elect to not attend the session, the fee is still applicable and no make-up session is available. If this occurs, we will endeavour to call the parent to ask if they are ok if they miss the session. Therefore, please keep in constant contact with your child’s teacher so they are aware of their lesson time and they advise you if anything in their planning for that week will impact on the child’s tutoring time – i.e. Mother’s Day/Father’s Day activities, special science incursions, etc
- Your child’s lesson time will be sent to you as a calendar invite so you know when it is.
- It is the responsibility of the parent to advise of the absence, not the school’s responsibility.
- If the tutor is absent for any reason then you’ll be offered a make up lesson or a credit (you will not be penalised for the tutor’s absence)
Two weeks’ notice needs to be given if you wish to cease sessions all together.
